The mission at Training Wheels ABA comes straight from Shyla Gonzalez, Physician Relations Manager: “At Training Wheels ABA, we do not take the training wheels off—we help families keep moving forward.”

That shows up in the therapy itself: one-on-one, BCBA-led, paced to each child, delivered across three Austin-area clinics and in family homes. It shows up just as much in the phone call before therapy ever starts, which is where Shyla spends most of her day. Her job is to make sure that first call turns into a family that feels heard, guided, and never left wondering what happens next.

The Challenge

ABA has a long road between a referral and a first session: an autism evaluation to confirm, insurance to verify, and a wait until a BCBA has the capacity to take on a new child. Every step on that road is a place a family’s situation can change, and a place they can start to feel forgotten.

Before LeadingReach, Training Wheels tracked referrals across roughly 10 separate spreadsheet tabs, split by location and stage. The team could see who was on the list. What was harder to see was what was actually happening in a family’s life while they waited—and what it cost when that gap went unnoticed too long.

Solution

Training Wheels ABA went live on LeadingReach Core in April 2026, giving the team one shared view of every family in the referral pipeline.

ABA referrals arrive through multiple channels, including fax, phone calls, and online inquiries. Not every family is ready to onboard right away. Some still need autism testing, insurance verification, documents, have questions or an opening at their preferred location. While CentralReach supports clinical documentation, Core gives the team a way to organize intake and stay in touch with families, even when clinics are full.

Training Wheels ABA customized Core with:

  • A workflow that tracks diagnosis, insurance, documentation, and other intake requirements, helping families move forward when an opening becomes available.
  • Follow-up tasks for families waiting on evaluations or documents.
  • Statuses that show who needs testing, who is ready to onboard, and who needs a follow-up.
  • Tags for location, insurance, and age that help the team match families with available openings.

Together, these tools help Training Wheels ABA keep families informed and make each step of intake easier to manage.

What’s Next
